01Getting started

Logging in and finding your way around.

How do I log in?+
Go to your WarehouseBook URL and enter the email and password your admin set up. If you’ve forgotten your password, use Forgot password on the login screen or ask your admin to reset it.
What does the dashboard show?+
The dashboard opens with the Morning Briefing — a single panel that tells you what’s blocking your warehouse right now (pending approvals, low stock, overdue maintenance) and what to keep an eye on (unmarked attendance, pending bills, in-progress deliveries). Read it first, then click any line to act. Reference metrics live below in collapsible sections.
How do I switch between warehouses?+
Use the warehouse selector in the top bar. Every module — inventory, gate, finance — then reflects the warehouse you’ve chosen.
How do I jump to a page or worker quickly?+
Press ⌘K (Mac) or Ctrl-K (Windows/Linux) from anywhere to open the command palette. Type a worker name, visitor, or module — Enter to navigate. Faster than clicking through the sidebar.
Where can I get help on a specific page?+
Click the ? icon in the top-right header. A side panel opens with page-specific guidance: what this page is for, who uses it, and a short how-to walkthrough. Esc to close.

02Inventory & WMS

Receiving, storing, picking and dispatching stock.

How do I create a work order?+
Open WMS → Work Orders and click New. Choose inbound or outbound, add the items and quantities, and save. The order moves through Pending → In progress → Received / Dispatched on the board.
How do I check stock levels?+
Go to WMS → Storage (or Inventory → Masters). You’ll see live stock by SKU, lot and location. Low-stock items are flagged automatically.
Can I change the low-stock threshold?+
Yes — the threshold is editable per lot. Open the lot, set the threshold value, and save. Alerts then trigger against your number rather than a fixed default.
How do I raise a delivery order?+
Open WMS → Delivery Orders → New, pick the items and quantities. The system allocates against available, expiry-aware stock and updates inventory on dispatch.

03Gate & visitors

Managing the warehouse front door.

How do I issue a gate pass?+
Open Gate Passes → New, enter the vehicle and party details, and save. The pass appears in the live list; mark it Inside on entry and Exited on departure.
How do I register a visitor?+
Go to Visitors → New and fill in the visitor’s details and host. Pending visitors can be approved by an authorised user; all check-ins and check-outs are logged.
How do I delete a visitor record?+
A visitor can be removed by a super admin, or any user can request deletion for a super admin to approve. Deletions are soft — the record is hidden from lists but kept with a full audit log of who and when.
Can I run the gate from a phone?+
Yes. On a phone, Gate Passes and Visitors show full-width visitor cards instead of a desktop table — thumb-sized Check in / Check out buttons (or Approve / Reject for pending visitors). The mobile number is a tap-to-call link. Designed for security guards who work the gate from a phone, not a desk.

04Logistics & TMS

Trips, vehicles and lorry receipts.

How do I plan a trip?+
Open Logistics, create a trip, assign a vehicle and driver from the master, and link the relevant delivery orders. Track status from planned to completed on the board.
How do I generate a lorry receipt (LR)?+
From Logistics → Lorry Receipts → New, select the trip and enter consignor/consignee details. The LR is auto-numbered and can be printed.

05Workforce & payroll

Attendance, shifts, leave and payroll.

How do I add a worker?+
Go to Workers → New, fill in the profile and save. The worker is then available for attendance, shifts and payroll.
How do I mark attendance or overtime?+
Use Attendance for daily marking. Overtime and Regularizations have their own tabs for corrections and approvals. On a phone, the attendance page shows worker tiles — one tap per worker cycles status: Present → Late → Absent → Half-day → On-leave. A sticky progress strip shows how many you’ve marked so far.
How do I run payroll?+
Open Payroll, generate the draft for the month — it pulls from attendance and applies prorated professional tax and statutory deductions. Review the draft, then approve to finalise.
How do shifts work?+
In Shifts, define shift templates and roster workers against them. The coverage view shows gaps before they become a problem.

06Finance & compliance

Bills, reimbursements and documents.

How do I record a bill?+
Open Finance → Bills → New, enter the vendor and amount, attach the document, and submit for approval. GST and TDS fields are built in.
How do I see cashflow trends?+
Open Finance. The page leads with a 90-day cashflow chart (income vs expense as two lines) and an aging donut showing where outstanding bills are stuck (current / 1-30 / 31-60 / 61-90 / 90+ days). Answers “are we trending solvent?” and “where’s the cash stuck?” without drilling into the bills table.
Where can I see payroll trends?+
The Payroll page shows a 12-month net pay trend chart and a deduction-mix donut (PF / ESIC / TDS / PT / Other) for the current month — both above the per-worker table.
How do I submit a reimbursement?+
Go to Finance → Reimbursements → New, add the expense details and receipt, and submit. It routes through the approval flow.
Where are compliance documents stored?+
All documents live in Documents — FSSAI, GST, TDS and more — with expiry reminders so nothing lapses before an audit.

07Admin & account

Users, roles and reports.

How do I add a user or change roles?+
A super admin manages users and their roles from the admin area. Roles control which modules and actions each person can access.
How do I export a report?+
Open Reports, choose the report and date range, and export to Excel or PDF. Dashboards update live across all modules.
What are alerts?+
Alerts surface anything that needs attention — low stock, expiring items, pending approvals — so you act before it becomes an issue.
